The listing is what puts you in the "map pack," the block of three business results with a map that appears near the top of local search results. When someone in Aundh searches "cafe near me" and sees three cafes with photos and star ratings, those three won a competition based on the strength of their Google Business Profile. Without a claimed and completed profile, you are not even in the race.

Beyond visibility, the listing is often the first impression a potential customer gets of your business. If your profile has fresh photos, dozens of positive reviews, correct hours, and a description that speaks to what customers care about, people call before they even visit your website. Local searches carry the highest purchase intent in all of digital marketing. Someone typing "physiotherapist in Kothrud" is not researching or comparing. They need an appointment today. Google's own data shows a large share of local mobile searches result in a store visit or call within 24 hours.

Before you start: what you need ready

Gather these details before you sit down to create the profile. Having everything ready means the setup takes 20 minutes instead of an hour of back-and-forth.

  • A Gmail account. Create a business Gmail address if you can (like info@yourbusinessname.com is better managed separately, but a personal Gmail works too). Do not use an employee's personal email that might leave with them.
  • Exact business name. Write it the way it appears on your GST certificate, signboard, and invoices. No stuffing keywords like "Best Dentist in Pune Sai Dental Clinic." Google penalises name stuffing.

  • Business phone number. Use a landline or business mobile that stays reachable during business hours. Personal numbers work but look less credible.
  • Website URL. Even a simple one-page site helps. If you do not have one yet, you can add it later. But businesses with websites rank better because Google can verify more information.
  • Business hours. Actual opening and closing times per day, including any lunch breaks. Wrong hours are one of the biggest complaints customers leave in reviews.
  • 10 to 15 clear photos. Storefront, interior, team, products or services in action, and if you serve food, dish photos. Phone camera photos taken in daylight are fine. Avoid stock images.
  • Short business description (750 characters max). Write it in the language your customers use, not industry jargon.

Step-by-step: listing your business on Google Maps

Step 1: Go to Google Business Profile

Open a browser and go to business.google.com. Sign in with the Gmail account you want to permanently associate with this listing. This account will control the profile, so pick one that will stay accessible even if staff changes. Click "Manage now" or "Add your business to Google" to start.

Step 2: Search or add your business name

Type your business name. If Google's system already has a listing for your business (created from Maps data, an old submission, or a customer), it will appear in the dropdown. Click it and select "Claim this business" or "Own this business." If nothing appears, click "Create a business with this name" to start fresh.

Important: if a listing already exists but is claimed by someone else, do not create a duplicate. Duplicates get flagged and both listings may be suspended. Instead, request ownership transfer through Google's official process. This is common when a former employee or ex-partner set up the listing.

Step 3: Choose your business category

This is the most important decision in the whole setup. Your primary category is the single strongest relevance signal to Google. A dental clinic categorised as "Medical Office" instead of "Dentist" misses every dental-related search. Choose the category that most precisely describes your main service.

Examples of correct primary categories:

  • A restaurant serving Punjabi food should pick "Punjabi Restaurant," not just "Restaurant."
  • A physiotherapist should pick "Physiotherapist," not "Doctor" or "Medical Clinic."
  • A boutique selling women's clothing should pick "Women's Clothing Store," not "Clothing Store."

You can add up to 9 secondary categories later to cover additional services. But the primary category is what Google weighs most heavily. Choose it carefully.

Step 4: Add your location

If you serve customers at your address (a shop, clinic, restaurant), select "Yes" and enter your complete address. Google will show a map to confirm the pin location. Drag it to the exact spot if it is off by a few metres. Wrong pins send customers to the wrong doorstep and generate bad reviews.

If you serve customers at their location (a plumber, home tutor, mobile mechanic), select "No" and specify service areas by city, neighbourhood, or PIN code. Home-based businesses that do not want their address public can also select "I deliver goods and services to my customers" during setup to hide the address while still verifying it.

Step 5: Add contact details and website

Enter your business phone number and website URL. Both fields are optional at this stage, but skipping them hurts your profile completeness score. A profile without a phone number cannot receive calls directly from the listing. A profile without a website misses the "Visit website" button that drives 30 to 40 percent of profile traffic to your site.

If your website is not ready, add a Facebook page or Instagram profile URL as a placeholder. Update it once your website is live.

Step 6: Verify ownership

Google needs to confirm you actually own or run the business. In India, the most common verification methods are:

  • Postcard verification. Google mails a physical postcard with a 5-digit code to your address. Takes 5 to 14 business days. Once it arrives, log back in and enter the code. This is the default for most Indian businesses.
  • Phone verification. Some categories qualify for instant phone verification. Google calls or texts your business phone with a code.
  • Email verification. Occasionally offered for businesses that already have a claimed profile linked to a matching domain email.
  • Video verification. Google increasingly asks for a short video walkthrough of your premises, showing the signboard, entrance, and interior. Takes 3 to 7 business days for review.

Choose whichever method Google offers you. Do not skip this step. An unverified profile does not appear in search or Maps at all.

Step 7: Complete every remaining field

While waiting for verification, fill in every optional field. Profile completeness functions almost like a fourth ranking factor.

  • Add your business description (750 characters).
  • Upload 10 to 15 photos across the categories Google offers (exterior, interior, team, product, at work).
  • Add all your services with short descriptions and prices where applicable.
  • Add attributes (accepts cash, wheelchair accessible, has WiFi, women-owned, etc.).
  • Set your business hours accurately for each day of the week.
  • Add special hours for public holidays.

After verification: how to keep the listing ranking

Getting listed is step one. Getting ranked is a separate ongoing job. Once your profile is verified and live, here is the routine that separates the businesses in the map pack from everyone else.

Ask for reviews consistently

Reviews are the second-strongest signal after category and completeness. But volume alone does not work. Recency, rating, and the words inside the review all matter. A steady drip of 5 to 10 genuine reviews per month beats a bought batch of 50. Google's spam filters flag review spikes.

Ask happy customers right after service. A WhatsApp message with a direct link to your review page works well. Never buy reviews. Never ask employees or family to write fake reviews. Google detects both, and the penalties (profile suspension, review deletion) far outweigh any short-term benefit.

Post regularly on your profile

Google Business Profile has a "Posts" feature where you can share updates, offers, events, and new products. Posts stay live for 7 days (offers and events longer). Businesses that post weekly get more profile views than those that never post. Treat it like a mini-social feed for Google Search users.

Reply to every review

Positive or negative, reply to every review within a day or two. Your responses signal to Google and future customers that someone is paying attention. For negative reviews, respond calmly, apologise where warranted, and offer to resolve offline. Never argue publicly.

Upload fresh photos monthly

Add at least 2 to 3 new photos per month. Fresh photos signal an active business. They also drive engagement because Maps users spend time scrolling through photos before choosing a business.

Build citations on Indian directories

Submit your business with identical NAP to Justdial, Sulekha, IndiaMART, Practo (for healthcare), Zomato (for food), and any industry-specific platforms. Common mistakes that get profiles suspended

Keyword stuffing your business name

Naming your business "Sai Dental Clinic Best Dentist in Baner Pune" instead of just "Sai Dental Clinic" is against Google's policies. Profiles get suspended for this. Use your legal, real business name exactly as it appears on your signboard and invoices.

Using a fake or shared address

Virtual office addresses, coworking spaces used only for the listing, or PO boxes are not allowed. Google verifies the address is real. If a competitor reports your listing as fake, Google will investigate and suspend you.

Creating duplicate listings

One business, one profile. If you have multiple locations, each real location gets its own profile. But creating a second profile for the same address (to double your visibility, or because you forgot the login for the first one) will get both suspended.

Wrong category or too many categories

Choosing "Company" or "Corporate Office" as your primary category is a common mistake. Be specific. And do not add 9 secondary categories just to appear in more searches. Add only categories that genuinely describe services you actively provide.

Ignoring the profile after setup

The single biggest mistake I see. Businesses claim the profile, fill in the basics, get verified, and then leave it untouched for years. Meanwhile competitors post weekly, reply to reviews within hours, and add photos every month. Six months later, the passive profile has dropped in ranking and the active one owns the map pack.

How to check your profile is working

After your profile is verified and you have completed the setup, do these checks weekly for the first month.

  1. Search your business name in Google. Your listing should appear in the right-side panel on desktop and at the top on mobile.
  2. Search your main service plus your neighbourhood in an incognito window (like "dentist Baner" or "salon Kothrud"). Note where you appear in the map pack. Track this weekly.
  3. Check your Google Business Profile insights. Log in to see how many people searched for you, viewed your profile, requested directions, called from the listing, or visited your website. These numbers show whether the profile is actually driving action.
